We’re committed to being fair, honest, and upfront. Please read these terms carefully—whether you’re requesting a deck quote, booking a consultation, or working with us on a custom outdoor project, these terms ensure everything runs smoothly for both sides.

Services We Provide

XP Decking specializes in custom deck building and outdoor carpentry for residential properties. We offer the following services across Newmarket, Ontario, and nearby communities:
  • Custom deck design and installation
  • Deck repair, removal, and rebuilding
  • Deck lighting  and landscaping
  • Outdoor structures like pergolas, cabanas, and sheds
  • Waterproofing services

All services are subject to material availability, weather conditions, and municipal regulations. We strive to accommodate specific requests, but certain design or structural changes may require project adjustments.

Quote Requests and Estimates

All quotes provided, whether online, by phone, or during a site visit, are non-binding until confirmed by a signed contract.

Important notes about quotes:

  • All estimates are valid for 30 days
  • Material prices and labour costs may change if market conditions shift
  • Final pricing may be adjusted if project details change after the quote is accepted
  • It’s your responsibility to provide accurate site and access details

If unexpected structural issues arise (e.g., poor soil, old framing, unmarked utilities), we’ll always consult with you before any price changes occur.

Project Timeline and Delays

We aim to complete all projects on time and within scope. That said, outdoor projects can be affected by conditions beyond our control. Your project timeline may shift due to:
  • Weather delays (rain, extreme cold, snow, or heat advisories)
  • Permit processing times from local building authorities
  • Supply chain issues causing material shortages
  • Client-requested design changes
We’ll always keep you in the loop if delays happen and work with you to find the next best available time to continue or complete the work.

Payments and Billing

To confirm your booking and secure materials, we require a deposit.

Our Standard Payment Structure:

  • 30–50% deposit due at contract signing
  • Progress payments during longer builds or multi-phase projects
  • Final payment due upon completion and client approval

We accept e-transfer, cheque, or cash. Full payment must be received before any warranties become valid. Late payments (over 7 days) may incur late fees or work stoppage.

Permits and Legal Compliance

XP Decking follows all relevant building codes and zoning bylaws in Ontario. In many cases, a permit is required for your deck or outdoor structure.

Our role:
  • We can assist in preparing drawings and submitting permit applications 
  • We’ll advise you on whether a permit is required based on your location and design 
Your role:
    • You are responsible for confirming property lines, underground utility markings, and local HOA or subdivision rules 

Failure to disclose accurate site details can lead to project delays or cancellations.

Cancellations and Refund Policy

We understand that plans can change. Here’s what to expect if you need to cancel your project.

If You Cancel:
  • Cancellations made within 48 hours of scheduled work may forfeit your deposit 
  • If materials have been ordered or delivered, those costs are non-refundable 
  • If work has begun, you will be billed for labour and materials used up to that point 
If We Cancel:
  • We may cancel a project due to safety issues, unpermitted work, site inaccessibility, or non-payment 
  • In such cases, any unused portion of your payment will be refunded 

We try to be fair and transparent in every situation.

Warranty Information

We stand by our work and materials.

Our Warranty Covers:
  • 3-year workmanship warranty for any defects in construction 
  • Manufacturer warranties for decking materials like composite, cedar, or vinyl (varies by brand) 
Not Covered:
  • Damage from abuse, accidents, flooding, or neglect 
  • Improper maintenance (e.g., using harsh chemicals or pressure washing) 
  • Shifting due to soil movement or frost heave 

If an issue arises, contact us right away—we’ll assess and resolve it whenever possible.

Limitation of Liability

While we do everything we can to complete your project safely and properly, some things are beyond our control. XP Decking is not responsible for:
  • Existing structural issues not disclosed 
  • Underground utilities that were not marked 
  • Delays caused by third-party contractors 
  • Cosmetic damage to landscaping from required equipment 
We carry liability insurance and follow Ontario safety standards. We will never take risks with your property or our crew.
